The type of personal information we collect

We currently collect and process the following information when you book onto one of our writing retreats:

• Your name, email address and phone number

• Any information you tell us about your preferences and requirements for the retreat

If you sign up to our blog updates we collect:

• Your name and email address

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by your for one of the following reasons:

• You have booked onto our retreat and completed the booking form

• You have signed up to receive our blog updates

We use the information that you have given us in order to provide the writing retreat, including information in advance of the retreat and to follow-up with you after attending the retreat event. If you sign up to our blog we use your information to send you our blog updates.

We do not share this information with anyone else. Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

• Your consent for our blog updates. You are able to remove your consent at any time. You can do this by clicking 'unsubscribe' at the bottom of the email or contacting us on support@coastalwriting.co.uk

• We have a contractual obligation when you book a retreat with us. We use this information to provide you with our writing retreat service.

How we store your personal information

Your information is securely stored. For our blog updates, we store your name and email address until you tell us that you no longer want to receive our emails. Information collected for the purposes of providing you with our writing retreat service is kept until our final follow-up email, after which your information is deleted (unless you have also asked to receive our blog updates, then your name and email address is retained only). We will dispose of this data by deleting it from our database.

Your data protection rights

Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information. 
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at support@coastalwriting.co.uk if you wish to make a request.
 

How to complain

You can also complain to the ICO if you are unhappy with how we have used your data.
